ABOUT IPSA

The International Political Science Association (IPSA) is an international non-governmental organization founded in 1949 under the auspices of UNESCO. With members from all over the world, IPSA advances the global development of political science, promotes academic collaboration, and supports activities that strengthen the discipline worldwide. IPSA organizes a biennial World Congress of Political Science, academic conferences, workshops, summer schools, and provides resources and services to scholars at all career stages.

POSITION OVERVIEW

The IPSA Secretariat is seeking a versatile and motivated Administrative Assistant to join its team based in Montréal, Canada. The successful candidate will provide essential support for the Secretariat’s daily operations and contribute to various special projects arising from IPSA’s Strategic Plan for 2023–2027. This administrative role involves organizational and communication tasks and offers the chance to contribute to international academic initiatives.

QUALIFICATIONS

  • Bilingual in French and English with excellent written and verbal communication skills (other languages are an asset)
  • Post-secondary diploma (DEC or BAC) in a relevant discipline (MA an asset)
  • A minimum of two years of administrative and customer service experience
  • High level of proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite
  • Familiarity with digital tools and databases; comfort with adopting new technologies
  • Experience with website updates (an asset)
  • Excellent organizational, communication, and interpersonal skills
  • Attention to detail and problem-solving skills
  • Ability to carry out job responsibilities with minimal supervision while knowing when to escalate and seek supervisory assistance

QUALIFICATIONS

  • Bilinguisme français–anglais avec d’excellentes compétences écrites et orales (la connaissance d’autres langues est un atout).
  • Diplôme d’études collégiales (DEC) ou baccalauréat dans un domaine pertinent (la maîtrise est un atout).
  • Minimum de deux ans d’expérience en administration et en service à la clientèle.
  • Maîtrise avancée de la suite Microsoft Office (Word, Excel, PowerPoint) et de la suite Google.
  • Familiarité avec les outils numériques et bases de données; aisance à adopter de nouvelles technologies.
  • Expérience en mise à jour de sites web (un atout).
  • Excellentes aptitudes organisationnelles, de communication et relationnelles.
  • Souci du détail et bonnes capacités de résolution de problèmes.
  • Capacité à assumer ses responsabilités avec un minimum de supervision tout en sachant quand solliciter de l’aide ou une validation.
Responsibilities
  • Assist the Secretariat team with various daily administrative functions, data entry, and database updates.
  • Manage general and membership inboxes; respond to email inquiries from members and partners.
  • Draft, format, and edit letters, reports, presentations, and meeting minutes.
  • Participate in the implementation of new IPSA initiatives, such as outreach and training programs.
  • Organize, update and digitalize IPSA’s physical archives.
  • Support website updates.
  • Assist with other administrative duties as required.
