JOB SUMMARY:

The Administrative Assistant – IT Department provides vital administrative support to the IT team, helping ensure smooth day-to-day operations. This role includes coordinating schedules, managing documentation, tracking assets, and assisting with basic IT-related tasks. A foundational understanding of IT terminology and systems is essential for effective communication with technical staff and vendors.
Responsibilities:

REQUIRED QUALIFICATIONS:

  • High school diploma or equivalent; Associate degree preferred.
  • 2+ years of administrative experience; prior experience in an IT or technical environment is a plus.
  • Basic knowledge of IT systems, equipment, and terminology (e.g., hardware types, Microsoft 365, networking terms).
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to manage multiple tasks with attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to maintain professionalism and confidentiality.

PREFERRED SKILLS:

  • Familiarity with IT ticketing systems (e.g., ServiceNow, Jira, Freshservice).
  • Basic understanding of inventory or asset management systems.
  • Comfort working in a fast-paced, technical environment.
Responsibilities
  • Serve as the primary administrative support for the IT department.
  • Schedule and coordinate meetings, appointments, and technical training.
  • Manage documentation, including purchase orders, license renewals, asset inventories, and maintenance logs.
  • Assist in tracking and documenting IT assets (e.g., laptops, monitors, software licenses).
  • Help process IT service requests and route tickets to the appropriate personnel.
  • Maintain confidentiality and security of IT-related information and documentation.
  • Liaise with vendors for IT supplies, orders, and support contracts.
  • Support onboarding and offboarding by coordinating IT equipment distribution and retrieval.
  • Assist with preparing IT reports, presentations, and status updates.
  • Provide light technical support (e.g., password resets, printer issues) under supervision.
