On behalf of our healthcare client, Procom is searching for an Administrative Assistant - Junior for a 7-month contract role. This position is a hybrid position with 2 days onsite at our client’s Edmonton office.

ADMINISTRATIVE ASSISTANT - JUNIOR - JOB DESCRIPTION:

The Administrative Assistant - Junior will be a part of the Procurement and Systems Optimization Secretariat (PSOS) team, supporting the Manager Operations Support. The role involves securing contract signatures, facilitating procurement documentation exchange, and maintaining contract records while ensuring compliance with Canadian trade agreements and organizational policies.

ADMINISTRATIVE ASSISTANT - JUNIOR - MANDATORY SKILLS:

  • Strong communication skills
  • Proficiency in Microsoft Excel
  • Experience with contract management systems
  • Ability to work collaboratively in a team environment
  • Knowledge of Canadian trade agreements
  • Excellent organizational skills
  • Problem-solving abilities

ADMINISTRATIVE ASSISTANT - JUNIOR – NICE-TO-HAVE SKILLS:

  • Familiarity with Oracle systems
  • Experience in healthcare procurement
  • Understanding of FOIP regulations
  • Training experience in records management
  • Previous experience in a hybrid work environment
Responsibilities
  • Secure contract signatures from vendors and facilitate documentation exchange
  • Maintain contracts within the Contract Lifecycle Management (CLM) system
  • Ensure compliance with Canadian trade agreements and organizational policies
  • Provide training and assistance on records management policies and procedures
  • Manage user access and account information within procurement systems
  • Proof and format system access documents
  • Track records in Excel
  • Answer phone calls and emails
  • Create documents as required
  • Act as point of contact for stakeholders
  • Provide contract administrative support to Contract Coordinators
  • Review requests from Contracting department
  • Process and triage all submitted requests
  • Support access to various online platforms
