ADMINISTRATIVE ASSISTANT TO THE CONDOMINIUM MANAGER

This position requires a mature person who displays an exceptional attention to details, an effective communicator, and a Team player.
KDM Management is seeking an individual to help manage various styles of Condominiums. Assisting the Condominium Manager in managing common areas, Board of Directors Requests, and facilitating requests Owners.
We are looking for a strong individual who is efficient, comfortable in a team environment and works well independently. The ability to multi-task while maintaining complex scheduling and support is essential to this position. The ideal candidate for this position is being resourceful, a good problem solver, excellent attention to detail and well organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
Responsibilities and Duties:
· Manage the workflow and assigned tasks by the Condominium Manager, Team Lead and Board Members and ensure that deadlines are met, and work is completed correctly.
· Manage office interactions with external clients, including welcoming guests, responding to phone and email inquiries, and addressing all requests or complaints professionally.
· Keep track of inventory and work with contractors to ensure properties run as efficiently as possible.
· Occasionally travel off site to deliver cheques, files, and notices to the various properties in the portfolio
· Maintain files with confidentiality in an easily accessible format.
· Communication between various departments, scheduling meetings, distributing reports, and keep all parties informed when applicable.
· Operate office equipment including, but not limited to, copiers, printers, scanners, folding machine, and computers.
Qualifications and Skills Preferred:
· High School Diploma equivalency
· Previous experience with administrative duties in a busy office setting
· Good organization, scheduling, and time management skills
· Excellent communication skills
· Proficient and working knowledge of Microsoft Office, which includes SharePoint and Outlook
· Proficient in Word and Excel
