ABOUT THE JOB:

Kent is looking for an Administrative Assistant to be based in Beaumont, TX and support regional project site(s).
This position has primary responsibility is to support the day to day operations of the Beaumont Team. Will work with Executive Assistant and Office Manager to help with all administrative tasks including expense reports, time sheets, assisting with travel arrangements, issuing IT tickets and other general office administration.
Skills and Responsibilities:

Your knowledge/skills, education, and experience:

  • Minimum 3 to 5 years of administrative assistant experience preferably in Oil & Gas industry with similar responsibilities.
  • Excellent verbal, written communication skills required.
  • Advanced knowledge and skills in Microsoft Office especially; Word, Excel, PowerPoint and Outlook.
  • Demonstrated organization and discipline
Responsibilities
  • Provide administrative support such as filing, scanning, and copying, answering telephones, assisting visitors and resolving and/or referring a range of administrative problems and inquiries.
  • Schedule and/or assist to organize activities such as meetings, conference room bookings, appointments and/or other similar activities, which may include coordinating travel and lodging arrangements.
  • Prepare and/or assist with the preparation of expense reports, scheduled and/or ad hoc reports; performs basic information gathering as specifically directed.
  • Complete IT tickets for the engineering team for various computer and telephone and cell phone issues. Ensure onboarding preparations for all new engineering employees are set up such that employees are effective from day one.
  • Maintain project rosters and organization charts.
  • Maintain departmental staff lists and emergency contact information.
  • Maintain list of PPE, FRC and safety certifications for engineering team.
  • Update departmental procedures, guidelines and JWI’s.
  • Support Department Managers with recruiting needs (sorting resumes, helping recruiting with interview setups, etc.).
    In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management. These tasks will be within the reasonable scope of the employee’s skills, capabilities, and role within the organization. The intent of this provision is to allow for flexibility and adaptability in meeting the dynamic needs of the organization, ensuring that operational requirements can be met efficiently. All such tasks will be assigned considering the employee’s current workload and with respect to their professional development.
