JOB OVERVIEW

We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will possess strong clerical skills and have experience in a fast-paced office environment. This role is crucial for ensuring the smooth operation of our office, supporting various administrative functions, and providing excellent customer service. The Administrative Assistant will be responsible for managing office tasks, assisting with bookkeeping, and serving as the first point of contact for clients.

REQUIREMENTS

  • Proven experience in an administrative role.
  • Familiar in QuickBooks, Microsoft Office Suite, Google Workspace, and general computer skills.
  • Strong typing skills with attention to detail for data entry tasks.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • French is not required
  • Previous experience with clerical duties such as filing, bookkeeping, or front desk operations is highly desirable.
  • Ability to work independently as well as part of a team in a fast-paced environment.
    Job Type: Part-time
    Pay: $16.10-$20.00 per hour
    Expected hours: 24 per week

Responsibilities
  • Perform data entry and maintain accurate records in QuickBooks and other software.
  • Manage filing systems and ensure documents are organized and easily accessible.
  • Provide exceptional customer service by answering inquiries via phone and email.
  • Monitor and track the shipments
  • Operate multi-line phone systems with professionalism and courtesy.
  • Assist with front desk duties, greeting visitors and directing them appropriately.
  • Support administrative functions including scheduling appointments and managing calendars.
  • Proofread documents for accuracy and clarity before distribution.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for various tasks.
  • Maintain confidentiality of sensitive information in a medical or dental office setting.
  • Collaborate with team members to improve office efficiency and workflow.
