Emerald Island Resort Master Association is seeking a full-time Administrative Assistant with strong organizational and communication skills to support the efficient operation of the association’s office and provide exceptional service to homeowners, residents, and team members. This position reports directly to the General Manager and requires daily onsite presence, Monday through Friday, with occasional flexibility to support community or clubhouse events. The Administrative Assistant will be responsible for office administration, correspondence management, lease coordination, and support of operational staff, including the CAM and Clubhouse Manager. This role requires the ability to perform duties with minimal supervision while ensuring accuracy, professionalism, and timely response to resident and team inquiries. AREAS OF RESPONSIBILITY: Answer and route incoming phone calls; provide courteous and accurate information or direct inquiries to the appropriate team member. Oversee the community administrative email account; review and distribute inquiries to the team and track follow-up. Coordinate lease management and related documentation, including processing renewals, tracking expirations, and maintaining records. Provide administrative support to the General Manager, CAM, and Clubhouse Manager, including scheduling, correspondence, and reporting as assigned. Manage website content and eblast communications under the supervision of GM, CAM, or Clubhouse Manager. Provide front desk support as needed, assisting residents and guests in a professional and helpful manner. Perform general administrative duties, including document preparation, filing, recordkeeping, and other office support tasks as assigned by the GM. Support internal communication and documentation flow to ensure timely information distribution to staff and residents. Requirements EXPERIENCE & QUALIFICATIONS: Proven experience in administrative support or office management. Strong written and verbal communication skills; professional phone etiquette. High proficiency in Microsoft Office Suite, mass email platforms, and basic website management. Ability to prioritize tasks, work independently, and meet deadlines. Customer service-oriented with the ability to interact effectively with residents, owners, and team members. Previous experience in HOA, resort, or property management is preferred. Ability to occasionally lift and carry up to 30 pounds and perform routine physical activity associated with office and community tasks. Positive attitude, professional demeanor, and attention to detail. PHYSICAL REQUIREMENTS: Prolonged periods of sitting, standing, and walking throughout the office and community areas. Ability to bend, lift, reach, twist, and perform other general physical activities associated with office and community support. WORK ENVIRONMENT: Primarily office-based with frequent interaction with residents and team members. Occasional support at community events or outdoor areas as needed.
