Description

We are looking for a Administrative Assistant to join our downtown Vancouver office. Our office is located in the historic Sun Tower (on the Vancouver Heritage Register) in the “Crosstown” area of downtown Vancouver, with a view of Vancouver Harbour, False Creek, and the North Shore Mountains. The area is known for its vibrant culture, sports venues, restaurants, and boutique shopping. We are conveniently situated on the same block as the Stadium SkyTrain station and accessible via several bus and cycling routes.
This is an excellent opportunity for an entry-level candidate with prior office experience to gain exposure in both administrative and legal support.

QUALIFICATIONS

  • Prior office experience required; legal office experience an asset
  • Proficiency with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) required
  • Strong organizational skills, attention to detail, and ability to multitask in a professional environment
  • Excellent communication and interpersonal skills
  • Proactive and adaptable, with a willingness to learn new skills

Responsibilities
  • Manage reception and front-desk duties, including phones, mail, couriers, and greeting visitors
  • Provide general administrative support to lawyers and staff, including document formatting, scanning, filing, and file openings/closings
  • Assist with scheduling, firm calendar updates, and coordination of meetings, professional development courses, and events
  • Support day-to-day office operations, including boardroom set-up, supplies management, vendor liaison, and basic IT troubleshooting (with escalation to IT provider as needed)
  • Assist with accounts payable processing, subscriptions, and other administrative projects as assigned
  • Provide coverage for administrative staff during absences
