QUALIFICATIONS, SKILLS, EXPERIENCE AND PERSONAL ATTRIBUTES:

  • 2+ years Administrative Assistant experience, preferably in a professional services setting
  • Intermediate proficiency in Microsoft Office, specifically Word, Excel, PowerPoint and Outlook
  • Team oriented; understands and supports job sharing activities
  • Strong German and English communication skills – written and verbal
  • Strong attention to detail with exceptional proofreading skills
  • Proven ability to manage multiple assignments effectively and complete tasks with a high level of accuracy in a deadline-oriented environment
  • Demonstrates strong organizational skills and ability to prioritize workload
  • Experience with workflow software, time and billing systems and CaseWare considered an asset
Responsibilities

PURPOSE OF ROLE:

Responsible for providing high-quality administrative support to Partners of The Firm

RESPONSIBILITIES:

  • Maintain calendar, including scheduling meetings and appointments, and providing daily briefings
  • Assists partners and managers in various billing activities and tasks, including preparing and sending invoices to clients
  • Prepare client year-end financial packages and assist in the electronic filing of tax returns
  • Support partners with the preparation of written communications and correspondence with clients as needed
  • Update workflow software tasks and provide general administrative support to the team
  • Provides support to partners and managers on various ad-hoc duties and assignments as required
  • Provides general team administrative support as specified or needed (i.e., Reception Coverage)
  • Actively supports and participates in firm-wide initiatives
  • Participates in the firm’s Team Development and Performance Management program
  • Promotes the firm’s Quality Control Standards
