Responsibilities
  • Office Maintenance: Keep the office clean, organized, and professional. Manage vendor relationships for maintenance, repairs, janitorial services, and contracts.
  • Reception & Front Desk: Answer and route calls, greet visitors, and manage voicemail.
  • Document Preparation & Technical Typing: Utilize strong typing and Microsoft skills to create documents, forms, and templates consistent with the MPA brand.
  • Meeting Support: Set up and clean meeting/conference rooms. Coordinate Lunch & Learns, including ordering food, managing food restrictions, and sending invites.
  • Calendar Management: Oversee MPA’s corporate calendar (birthdays, anniversaries, events) and maintain department/office public folders.
  • Errands: Assist with office errands as needed.
  • Supplies & Inventory: Order and track office and janitorial supplies; maintain inventory lists.
  • Mail & Shipping: Handle postage and shipping needs.
  • Engineering Schedule: Update weekly schedules (Bluebeam knowledge preferred) in coordination with engineers and project managers.
  • Onboarding/Offboarding: Assist with setting up workstations for new hires and preparing spaces for departing employees.
  • Scanning & Filing: Manage weekly AP/AR scanning and electronic filing with strict confidentiality.
  • Finance Support: Collate and prepare checks for mailing as needed.
