Join our growing team! The Administrative Assistant facilitates the efficient operation of multiple departments by performing a variety of clerical and administrative tasks virtually in completely remote setting and is expected to work an 8 hours per day schedule Monday – Friday, 8am – 5pm, Central Time Zone. This is an hourly role with pay of $22/hour. JOB REQUIREMENTS:

  • 3 years of experience in an administrative role and minimum of 2 years of experience supporting multiple units/departments.
  • Proficiency in Adobe, Adobe Sign and Microsoft Office Suite such as Word, Excel, PowerPoint, and Outlook (no training will be provided).
  • Advanced organizational skills, follow-through skills and strong attention to detail.
  • Excellent verbal and written communication skills, interpersonal and customer service skills.
  • Strong initiative and ability to work independently.

PHYSICAL REQUIREMENTS:

  • Prolonged periods sitting at a desk and working on a computer.
  • Working availability for business hours in Central and Eastern time zones.
Responsibilities
  • Manage phone lines messages virtually: route messages, screening when necessary to appropriate individuals. Follow up on messages with callers.
  • Respond to requests within the same day and within 24 hours.
  • Manage company mailboxes and disbursement inquiries.
  • Obtain document signatures via digital signature services like Adobe and DocuSign.
  • Maintains digital filing systems and saves documents in appropriate folders.
  • Retrieves information as requested from records and other related documents.
  • Conducts monthly audits for various teams.
  • Orders and maintain office supplies (uniforms, business cards, gifts & etc.) and communicate with various vendors.
  • Maintains a system for recording and tracking expenses.
  • Responds to and resolves administrative inquiries and questions.
  • Coordinates and schedules travel, meetings, conferences, and appointments.
  • Prepares agendas and schedules for meetings.
  • Attends weekly staff meetings as well as weekly 1:1 meeting
  • Performs other administrative duties as assigned.
