Job Description Administrative Assistant Birmingham, Client (onsite) 2+ Months Temp to perm Mon-Fri 10AM-7PM Qualifications Client is seeking a highly professional and detail-oriented Senior On-Site Services Specialist to support operations within a fast-paced legal office environment. This role is responsible for managing document production, mail services, and administrative support while handling highly sensitive and confidential legal materials. The ideal candidate is adaptable, organized, and client-focused, with the ability to deliver high-quality work under tight deadlines and interact effectively with attorneys, paralegals, and executive-level stakeholders. Responsibilities Operate high-volume copy, print, scanning, and document imaging equipment, including binding and finishing Handle sensitive and confidential legal documents with a high degree of accuracy and discretion Manage incoming/outgoing mail, shipping, receiving, and distribution of packages and legal correspondence Perform advanced document services including scanning, OCR processing, file conversion, formatting, and indexing Maintain and troubleshoot copier and office equipment; perform minor repairs and escalate issues as needed Utilize document management systems, FTP processes, and file naming protocols for efficient workflow Maintain records, billing logs, service logs, and inventory of office supplies Provide reception and client-facing support, including answering phones and responding to inquiries Coordinate conference room setups, meetings, and office services support Deliver completed work to designated locations and support internal logistics Perform filing, archiving, and records management, including purging outdated documents Support off-site project coordination and vendor services as needed Ensure workspaces, copier areas, and supplies are organized and well maintained Assist with light facilities support, including moves, setup, and minor maintenance tasks Interact professionally with attorneys, partners, clients, and staff while meeting tight deadlines in a high-pressure environment Additional Information Candidates must be able to lift 50 pounds and stand for extended periods of time.
