Job Summary Michael Baker International is seeking an Administrative Assistant II. In this role, you will provide essential administrative support to our Integrated Design & Advisory team in our Houston office. Working with limited supervision, you’ll help keep daily operations organized, efficient, and running at their best. What You’ll Do Gather, organize, and analyze moderately complex information for use in reports, presentations, and decision‑making. Use your strong skills in spreadsheets, word‑processing, and presentation software to prepare polished, professional materials. Manage incoming mail by reviewing, routing, and attaching relevant documents to ensure timely responses. Maintain an organized file system and keep correspondence, documents, and departmental records up to date. Answer and screen phone calls for managers, coordinate conference calls, and help ensure communications flow smoothly. Manage calendars, schedule appointments, and help coordinate your manager’s daily and weekly priorities. Welcome visitors and ensure they are directed to the right place, creating a positive and professional first impression. Arrange travel and accommodations, ensuring all details are accurate and well‑coordinated. Organize meetings by preparing agendas, reserving rooms, setting up facilities, and recording and transcribing meeting minutes. Draft, edit, and send professional correspondence, including letters, emails, and faxes. Order office supplies, track inventory, and coordinate maintenance for office equipment. Maintain personnel records and help support departmental space‑planning activities. Assist with light accounting tasks such as basic receivables, payables, or invoice preparation as needed. Take on additional responsibilities that support the team and department. Supervisory Responsibilities None. Experience 2+ years of related administrative experience. Education High school diploma or GED. Skills & Qualifications Ability to perform all essential duties effectively; reasonable accommodations available as needed. Strong organizational skills, accuracy, and ability to multitask. Excellent written and verbal communication skills. Comfortable working with multiple software tools and learning new systems as needed. Physical Demands & Work Environment Frequent talking, hearing, and hands‑on computer work. Occasional standing, walking, sitting, and reaching. Requires close and distance vision, as well as the ability to adjust focus. Work environment is generally quiet to moderately busy.
