The Administrative Assistant is adaptable and action-oriented with strong communication skills. This person provides reliable day-to-day support under minimal supervision and manages multiple priorities with professionalism. Responsibilities include: Provide administrative support to the business and/or assigned division: schedule multi-attendee meetings, process mail, assist with correspondence, make copies, maintain standard department materials and manage distribution. Support a variety of clerical related tasks for the company and/or division. Job Set-Up and Close Out: Certificates of Insurance, Bonds, Change Orders Facilitate vendor billing: internal invoices and tracking/management of payment status. Check and prepare invoices for approval, route to Accounts Payable for payment. Maintain and track payment status and complete follow up work. Perform transactional data entry into systems with a high degree of accuracy. Scan, organize, and file documents. Assist with new hire orientation; prepare workspace, assist with training.
