Description Position Summary Bay State Community Services is seeking a detail-oriented and organized Administrative Assistant to support the daily operations of the Massachusetts Impaired Driver's Program. This individual will serve as the first point of contact for program participants, maintain accurate records, coordinate administrative processes, and provide exceptional customer service to clients, staff, and community partners. The ideal candidate is professional, dependable, and able to manage multiple priorities in a fast-paced environment. What You Will Be Doing to Support the Program Greet and assist program participants in person, by phone, and via email. Schedule participant intakes, assessments, group sessions, and appointments. Maintain accurate participant records and program documentation in accordance with agency and state requirements. Process program enrollment paperwork, attendance records, and participant payments. Prepare reports, correspondence, and other administrative documents as needed. Assist with data entry and database management. Coordinate communication with courts, probation departments, referral sources, and other stakeholders. Maintain confidentiality of participant information in accordance with agency policies and HIPAA regulations. Provide general administrative support to program staff. Perform other duties as assigned. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Proficiency with Microsoft Office Suite (Word, Excel, Outlook). Ability to prioritize tasks and work independently. Experience working in a behavioral health, healthcare, human services, legal, or court-related setting preferred.
