Description

We are on the lookout for a full-time Administrative Assistant to provide administrative support to our team and enhance office effectiveness. This is an in-person position, Monday to Friday.
MNS & Associates and its affiliates provide a broad range of accounting, taxation and assurance services. Our business services also include developing business plans, incorporating new business entities, succession planning, and joint venture structuring and financing. While accurate financial records are essential for a company to meet tax filing requirements, they are equally important as a management tool. We specialize in small and medium-sized companies. Our services are designed to assist businesses through sound planning, financial and quality, management systems.

Job Responsibilities:

  • Perform general administrative tasks such as photocopying, faxing, scanning, and handling mailings incoming and outbound.
  • Manage incoming phone calls, providing assistance or taking accurate messages to relay to the appropriate team members.
  • Execute daily office opening and closing procedures.
  • Assist with the preparation and filing of tax returns, as well as preparing audit/review letter packages when needed.
  • Prepare, review, and update templates, letters, reports, Word documents, Excel workbooks, and other correspondence materials.
  • Coordinate and schedule internal and external meetings, appointments, and office events efficiently.
  • Maintain and uphold MNS’s electronic filing system, ensuring all documents are properly organized and stored.
  • File documents in an electronic database.
  • Assist with the firm’s accounts receivable and accounts payable processes.
  • Communicate directly with clients and the CRA, providing necessary information as requested.
  • Maintain and monitor office supply inventory levels and place orders as required

Qualifications:

  • Minimum of 1 year of administrative experience.
  • Basic knowledge of Canadian tax returns is preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Strong typing skills (50+ words per minute).
  • Excellent writing, grammar, and communication skills.
  • Exceptional customer service and interpersonal skills.
  • Familiarity with office equipment, including fax machines, copiers, and scanners.
  • Basic mathematical aptitude.
  • Experience with Caseware, Profile, and QuickBooks is a plus.
