Description:

Applications are invited for the regular position of part-time Administrative Assistant to the Director of Planning & Institutional Research, in the Student Affairs Division. The starting salary is $24.32 /hr for a 24-hour work week, 10 months per year (September 1 to June 30). Additional hours may be required at peak times during the year such as start or end of term. The position is located at the Welland Campus.
Reporting to the Director, Planning & Institutional Research, the incumbent is responsible for supporting the Director in all aspects of the day-to-day operations of the department. They maintain professionalism and confidentiality while providing excellent customer service to stakeholders.
QUALIFICATIONS:
- A minimum two (2) year diploma
- Minimum of one year of relevant administrative experience
- Highly organized, with effective attention to detail and accuracy
- Confident in a fast-paced environment with multiple and changing priorities
- Superb time management and ability to prioritize scheduling and calendar work
- Familiarity with a high volume of ordering, tracking, and reception of materials
- Must possess a professional client-service orientation
- Strong computer skills and ability to quickly learn and master new computer programs
- Effective oral and written communication skills
- Proven abilities in working independently, exercising good judgment, confidentiality, and professionalism

Responsibilities:
- Assisting the Director with routine inquiries and managing the Director’s schedule, including electronic scheduling of meetings and events
- Implementing new office procedures to enhance department operations and team effectiveness
- Maintaining confidential files and records related to staff and students
- Monitoring and processing purchases, generating budget reports, and assisting with account monitoring
- Coordinating part-time staff timesheet collection and payroll submission, along with supporting staff orientation
- Supporting survey research/student engagement efforts, such as training survey administrators, organizing survey schedules, and updating survey promotional materials
- Providing administrative support and overseeing office supplies, equipment maintenance, and operations
- Collaborating with the Director in preparing for departmental meetings, recording minutes, and handling agendas
- Performing other duties as assigned
