Hours: Full-Time, 10:00 AM – 6:00 PM
Compensation: $17.50 per hour

POSITION OVERVIEW:

We are a busy law firm specializing in Criminal and Real Estate Law, seeking a reliable and detail-oriented Administrative Assistant to join our team. This role is ideal for individuals looking to gain hands-on experience in the legal field and build a foundation for a legal career.
The ideal candidate will have strong communication skills, a high level of professionalism, and the ability to handle confidential materials with care. Strong proofreading skills with attention to detail are essential, as the position involves managing sensitive files where accuracy is critical.

  • Excellent phone and email etiquette
  • Strong proofreading skills with attention to detail are essential—accuracy is mandatory when handling client files and legal records. Lack of attention to detail or carelessness will not be tolerated.
  • Highly organized, punctual, and reliable
  • Ability to work independently and maintain strict confidentiality
  • Must have reliable access to a vehicle for bank runs (valid driver’s license is an asset)
  • Proficient with Microsoft Office, email platforms, and online research tools
  • Comfortable adhering to a business casual to semi-formal dress code
    This is an excellent opportunity for individuals passionate about law and eager to gain real-world experience in a professional legal environment. You’ll be actively involved in supporting day-to-day operations while gaining exposure to both criminal and real estate law.
    This position includes a 3 month probationary period to assess fit and performance. Following successful completion, a minimum 1 year commitment is strongly desired to ensure growth within the role.

Responsibilities
  • Complete daily bank runs and manage time-sensitive document deliveries
  • Prepare and organize final reports for client files
  • Make and receive phone calls, including responding to inquiries and providing updates to clients and third parties
  • Follow up with third parties (e.g., lenders, brokers, law offices) via phone and email to gather or confirm documentation
  • Monitor the firm’s email inbox every 15 minutes to ensure timely responses and follow-ups
  • Answer calls from new client leads, provide general information, quote legal service pricing, and book consultations
  • Greet clients in person, maintain a welcoming environment, and offer refreshments upon arrival
  • Assist with legal research in criminal and real estate law, as requested
  • Conduct marketing and competitor research to support the firm’s outreach and branding efforts
  • Proofread documents for accuracy and clarity before distribution or filing
  • Experience working with MS Office and managing confidential information is advantageous
