Responsibilities:

NV5 is seeking a full-time dependable and proactive Administrative Assistant to join our Parsippany, New Jersey office. This full-time role supports all departments by performing a wide range of administrative tasks that help ensure the office runs smoothly and efficiently. The ideal candidate is detail-oriented, organized, and adaptable, with the ability to prioritize and complete tasks independently in a fast-paced environment.

  • Provide general administrative support across all office groups, including:
  • Archiving, binding, cleaning, and organizing
  • Typing, proofing, and editing correspondence
  • Creating and updating spreadsheets
  • Mailing, copying, faxing, filing, and invoicing
  • Input client and project data, expense reports, and labor adjustments/timesheets into Deltek Vantagepoint
  • Assist with billing processes by:
  • Coordinating with project managers
  • Compiling and organizing documentation
  • Coordinate or complete various office tasks, such as:
  • Building and equipment maintenance
  • Running office errands
  • Managing conference room schedules
  • Ensuring cleanliness and organization of the office
  • Print and scan small and large documents
  • Manage front desk duties, including answering multi-line phones and greeting visitors
  • Assist in planning and coordinating internal office events
  • Liaise with vendors for event planning, project support, and equipment maintenance
  • Take on special projects as needed

Qualifications:

  • Proven administrative or office support experience
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with Deltek Vision a plus
  • Strong written and verbal communication skills
  • Exceptional organizational and time management abilities
  • Professional and positive demeanor
  • Ability to handle multiple tasks with attention to detail
  • High school diploma or equivalent required; associate or bachelor’s degree preferred
