Description The Administrative Assistant provides high-level administrative, clerical, and operational support to the Executive Team and Senior Leadership within a Federally Qualified Health Center (FQHC). This role is critical to ensuring smooth daily operations, effective communication, and organizational efficiency while supporting the mission of providing high-quality, patient-centered care to underserved communities. Job Responsibilities: · Provide administrative support to Executive Leadership, including calendar management, meeting coordination, and preparation of agendas and materials · Maintain confidentiality and handle sensitive information in accordance with HIPAA and organizational policies · Coordinate logistics for leadership meetings, board meetings, trainings, and special events, travel · Track action items, follow-ups, and deadlines; ensure timely completion and communication · Provides support for incoming and out-going mail · Maintain organized electronic and physical filing systems · Support data entry, report preparation, and basic tracking for operational, HR, or compliance needs · Assist with preparation and organization of documents for audits, site visits, and HRSA requirements · Serve as a point of contact between leadership, clinic sites, and external partners · Answer and route phone calls, emails, and inquiries professionally and efficiently · Support cross-departmental collaboration and information flow Other duties as assigned. Requirements Skills / Qualifications: Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Ability to comprehend, interpret, and apply the appropriate sections of applicable laws, guidelines, regulations, ordinances, and policies. Excellent time management skills with a proven ability to meet deadlines. Strong analytical and problem-solving skills. Education / Experience High school diploma or equivalent (Associate’s degree preferred) Minimum 2 years of administrative or office support experience (healthcare or FQHC experience preferred) Proficiency in Microsoft Office (Outlook, Word, Excel, Teams) and electronic filing systems
