KNOWLEDGE, SKILL AND ABILITY

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Four (4) years of experience above the routine clerk level in office support or secretarial work.

MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE

One (1) year of the General Experience must have been as a Secretary 2 or its equivalent.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training in the secretarial sciences may be substituted for the General Experience on the basis of 15 semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years.

PREFERRED QUALIFICATIONS

  • Experience working in correctional institutions or within the criminal justice system.
  • Experience handling confidential or sensitive information with discretion.
  • Experience with justice-impacted individuals, including those who have been incarcerated, arrested, charged, or convicted, as well as those with family members involved in the criminal justice system.
  • Experience with Microsoft Office, including Outlook, Word, and Excel.
  • Experience coordinating schedules, meetings, and document management in a fast-paced environment.

Responsibilities

THE ROLE

The Administrative Assistant will be responsible for the following:

  • Serve as the primary point of contact for phone, email, and in-person inquiries and direct them appropriately.
  • Manage calendars, schedule meetings, and coordinate travel or site visit logistics.
  • Prepare agendas, take minutes, and distribute meeting materials.
  • Assist with hiring and onboarding processes, including coordinating interviews and tracking HR paperwork.
  • Monitor office expenditures, process invoices, and assist with budget reporting.
  • Maintain office supplies, equipment, and records in compliance with state policies.
  • Draft and format correspondence, reports, and presentations.
  • Provide logistical support for public outreach events and legislative briefings.
  • Assist Ombuds leadership with research, special projects, and policy initiatives.
  • Handle sensitive information with confidentiality and professionalism.

PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency this class is accountable for independently performing the most complex tasks in providing both office administration and secretarial support for a major program.
