This position plays a vital role in managing the company’s electronic health record (EHR) system, assisting clients and staff, and maintaining an orderly and professional office environment. Key Responsibilities 1. EHR System Management Upload, organize, and maintain client documentation within the Electronic Health Record (EHR) system. Ensure accuracy and confidentiality of all client records in compliance with HIPAA standards. Support staff in navigating and resolving basic EHR-related issues. 2. Insurance Verification Perform monthly insurance eligibility and benefits verifications for all active clients. Document verification results in the EHR and communicate updates to the billing and administrative team. Coordinate with the Executive Administrator regarding coverage changes, lapses, or discrepancies. 3. Scheduling and Coordination Manage client and staff appointment schedules within the EHR system. Coordinate availability and scheduling requests between case managers, clinicians, and administrative staff. Maintain an updated office calendar of meetings, trainings, and staff events. 4. Virtual Intake and Onboarding Facilitate virtual intake procedures for new clients, including consent forms, information gathering, and coordination with case managers. Ensure that all intake documentation is properly completed and uploaded to the EHR prior to service initiation. 5. Office Reception and Client Relations Greet and welcome guests, clients, and visitors to the office in a warm and professional manner. Answer phone calls, respond to inquiries, and route messages promptly. Maintain a clean, organized, and professional reception area. 6. Administrative and Clerical Support Assist office personnel with scanning, filing, copying, and other clerical duties as needed. Prepare reports, forms, and correspondence under the direction of the Executive Administrator. Support office operations by maintaining supplies and coordinating office maintenance needs. Qualifications High school diploma or equivalent (Associate degree preferred). Minimum of 1–2 years of administrative or office experience (healthcare or behavioral health setting preferred). Strong computer skills, including proficiency with Microsoft Office and EHR systems. Excellent organizational, time-management, and communication skills. Ability to maintain confidentiality and professionalism at all times. Detail-oriented with the ability to manage multiple priorities efficiently. Bilingual (English/Spanish) preferred. Work Environment Office and virtual (hybrid) environment. Must be able to maintain professionalism while interacting with clients, staff, and external partners.
