Administrative Assistant Yorktown, VA ORBIS is seeking an Administrative Assistant to work on–site at the Yorktown Naval Weapons Station, Yorktown, VA in support of our RADIAC and RADCON Professional Services Contract. The Administrative Assistant will be assigned to the Radiological Affairs Support Office along with other full time Administrative Assistants to provide executive level administrative support to the Officer In Charge and a Military and Government staff of approximately 30 personnel. Must be articulate, poised and able to communicate effectively orally and in writing and present a professional appearance and demeanor at all times. Must be able to work well as part of a team and have exceptional customer service skills. Tasks include: Preparing correspondence for signature by the Officer In Charge of NAVSEA DET RASO or NAVSEA 04N in accordance with the Navy Correspondence Manual. Process incoming/outgoing correspondence to include pick-up and drop-off mail; electronic and physical tracking of documents and action items; electronic and physical archiving of documents; directing documents to appropriate staff members; ensuring format and grammar is correct for outgoing correspondence; and distributing correspondence to the appropriate commands. Answer telephone calls and answer caller’s question directly or redirect to appropriate Government staff member. Assist with the receipt, distribution and creation of Naval messages. Manage the inventory of office supplies, to include canvassing staff for their requirements, recommending the source of supply, completing the appropriate purchase request for approval and distributing supplies when they arrive. Schedule suitable facilities or conference rooms for meetings including those conducted via teleconference and videoconference. This tasking includes logistics support, notification of attendees, and distribution of read-ahead materials. Draft meeting minutes and track status of action items. Assist with the in-processing of newly assigned military and civilian government employees. Requirements: Must be proficient in all Microsoft Office applications and Adobe Professional. 3 years of experience preparing correspondence IAW the Navy Correspondence Manual. US Citizen with Secret Security Clearance HS Diploma
