Job Summary As an Administrative Assistant and Travel Coordinator, you will be helping to manage several schedules, owning timelines of administrative tasks and be responsible for booking company-wide travel. Key Responsibilities Executive Support Own the calendars of the CEO, chairman and CTO — scheduling and coordinating internal and external meetings with speed and precision Anticipate scheduling conflicts and proactively resolve them before they become problems Deadline & Task Management Keep the CEO and CTO on track with time-sensitive tasks — including contract signatures, document reviews, approvals, and follow-ups Build and maintain a system for tracking outstanding items and upcoming deadlines, sending timely reminders and nudges as needed Act as a reliable second brain so nothing important gets missed Board Meeting Coordination Schedule Quarterly Board Meetings against multiple time zones and busy schedules Liaise with board members and their assistants to confirm attendance and accommodate scheduling needs Travel Management Own company-wide travel bookings, including flights, hotels, and ground transportation for the entire team Keep travel organized, cost-conscious, and as stress-free as possible for the people traveling Manage receipts from travel and coordinate those with the finance team Requirements Qualifications and Experience 2-3 years of experience in an executive assistant, administrative coordinator, or similar role — ideally in a startup or fast-paced environment Proven experience self-booking complex travel using strong cost/benefit analysis skills and high awareness of travel protocols worldwide Exceptionally organized with strong attention to detail and follow-through A proactive, self-starter mindset — you don't wait to be asked, you see what needs to happen and make it happen Strong communication skills — clear, concise, and professional across written and verbal communication Native level Hebrew and English - written and verbal Comfortable juggling multiple priorities and pivoting quickly when things change Proficiency with calendar and productivity tools Discretion and good judgment when handling sensitive information What We Offer A high-impact role at the core of a rapidly growing technology company.
