JOB DESCRIPTION:

We are looking for a proactive and detail-oriented Administrative Assistant to support our dynamic production team. The ideal candidate will play a key role in ensuring smooth operations by preparing and maintaining accurate production reports, creating purchase orders for direct and indirect materials, providing administrative support to employees across departments, and assisting with various tasks to enhance workflow and efficiency.

Responsibilities
  • Prepare and distribute weekly production order status reports to support production planning, using Microsoft Office Suite and ERP systems.
  • Maintain accurate records of employee attendance, vacation, and sick leave.
  • Process weekly payroll for plant personnel in compliance with company policies and labor regulations.
  • Utilize ERP systems for payroll processing, inventory control, and materials management.
  • Manage procurement documentation including purchase orders, receiving reports, and vendor invoices.
  • Oversee petty cash transactions and reconciliation.
  • Maintain organized filing systems — both digital and physical — for easy retrieval and compliance.
  • Ensure financial and operational records are audit-ready and support internal reporting requirements.
  • Collaborate with internal departments to facilitate planning and execution.
  • Serve as a liaison between operations, vendors, and corporate teams to enhance communication and resolve issues efficiently.
