Description
PCI Productions LLC is looking for an administrative assistant in support of a government contract in Mountain View, California.      The employee may be required to: * Plan and coordinate meetings, events and special projects * Arrange meeting locations and assure that appropriate presentation materials. * Prepare agendas and information packets.  * Reproduce and distribute hard copy presentation materials.  * Sorting and distributing mail * Retrieve, sort, send, scan, and distribute mail. * Draft, process and finalize letters and correspondence. * Compile, copy, scan and distribute documents. * Manage, receive, stock, maintain and organize office supplies Prepare orders for supplies using web-based ordering system.  * Coordinate the NF1676 publications process. * Update Division publication repository with approved NF1676 papers. * Coordinate, review, train, update and support branch members with the travel process * Enter, track and maintain safety or facility issues. Call in any safety or facility issues to Center trouble desk  * Support Division safety walk-throughs. * Submit service requests as needed for corrections or in support of needed activities. * Maintain calendars, including scheduling, re-scheduling, and prioritizing appointments and meetings as well as accepting or declining invitations for the Division Chief and Deputy Chief. * Serve as the Division Point of Contact for the Division's Morale, Welfare, and Recreation (MWR) activities. * Act as backup facility manager for the Division * Serve as event and conference support. Reserve conference facility within Moffett Field along with submitting logistics requirements for setup and cleanup. Coordinate resources needed: catering, deliveries. Process visitors, guest speakers with badges including foreign nationals. Create, update, and distribute required materials.  Support the check-in desk. Submit summary reports for each event. Qualifications: * Candidates must have 6 years' experience that demonstrates practical knowledge in the above listed tasks. A 4-year degree can be substituted for 4 years of experience. * Candidate must have advanced knowledge of Microsoft Office applications. * Candidate must be capable of independent performance and able to anticipate the needs of the team. * Candidate must be a US citizen.
