QUALIFICATIONS
- High school diploma
- Postsecondary degree or diploma or certificate in office administration program considered an asset
- 1 year of experience in an administrative role or equivalent technical experience
- Excellent verbal and written communication skills
- Professional and service-oriented approach internally and externally
- Ability to multitask
- Ability to act with discretion when handling confidential and privileged information
- Ability to effectively handle difficult calls and situations
- Ability to remain calm under pressure
- Able to anticipate and adapt to various work styles
- Ability to develop and maintain effective stakeholder relationships
- Ability to create, edit, proofread, and format documents/presentations
- Advanced skills in Word, Outlook, PowerPoint, Excel, Adobe, and OneNote

Responsibilities:
- Develops and maintains a well-organized filing system that permits easy reference and rapid retrieval of information
- Answers telephone calls and takes messages for manager, department, or team members
- Greets all visitors, answers questions, and directs to meeting rooms, or connects them with staff members
- Creates and maintains templates for forms, letters, tracking spreadsheets, etc
- Assists with organizing meetings and/or special events, including arranging for catering, locations, and distribution of information.
- May have mail distribution and courier responsibilities
- Arranges travel, hotel, and car reservations and prepares itinerary
- Able to mentor and coach other, more junior, administrative support staff
- Orders office supplies for district or assigned area as required
- Assist in ensuring departmental compliance with timelines, reporting, etc
- Provides accurate Word, Excel, and PowerPoint support by composing and/or editing a variety of documents
- Develops and maintains strong, customer-focused relationships with all stakeholders
