POSITION OVERVIEW

We are seeking a highly organized, personable, and detail-oriented Administrative Assistant to join our growing team. This role is essential in ensuring smooth daily operations and providing outstanding support to both patients and staff. The ideal candidate is proactive, reliable, and able to multitask in a dynamic, small-practice setting.

QUALIFICATIONS

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred
  • Previous administrative, front desk, or customer service experience (healthcare/clinic setting a plus)
  • Strong communication and interpersonal skills
  • Proficiency with Microsoft Office, Google Workspace, and scheduling/EMR systems (experience with JaneApp or similar is a bonus)
  • Ability to prioritize, problem-solve, and work independently
  • Knowledge of medical terminology and HIPAA compliance is helpful but not required—training provided

Responsibilities
  • Greet and assist patients with a welcoming and professional demeanor
  • Manage phone calls, emails, and patient inquiries
  • Schedule and confirm patient appointments, coordinate cancellations/reschedules
  • Verify intake forms, manage patient records, and maintain confidentiality (HIPAA compliance)
  • Process payments, invoices, and assist with out-of-network billing support
  • Track inventory and order office/clinic supplies as needed
  • Support marketing and outreach tasks (emails, social media posts, workshops, community events)
  • Assist with special projects to support clinic growth and patient education
