Responsibilities

As an Administrative Assistant, you’ll play a key role in supporting our office operations and estimating department. Your day-to-day responsibilities will include:

  • Maintaining and tracking employee vacation and leave schedules.
  • Managing and maintaining electronic filing systems and ensuring document organization.
  • Recording and distributing accurate meeting minutes as needed.
  • Providing front desk/reception coverage, including greeting visitors and managing phone/email inquiries.
  • Preparing documents, reports, and correspondence using Microsoft Word and Excel.
  • Editing and organizing PDFs and forms using Adobe Acrobat.
  • Assisting with travel inquiries and coordination (bookings, itineraries, accommodations).
  • Scheduling and coordinating meetings, appointments, and events.
  • Assisting with updating corporate documents, corporate CVs, and project profiles for the estimating department.
  • Reviewing or formatting documents for consistency and professionalism.
  • Supporting various departments with administrative tasks as required.
