The aim of this role is to support the institutional donor team within the NFP division, as well as offering administrative support to the wider NFP team.This role ideally requires an experienced administrator, who works well in a team, is flexible, organised, has advanced Microsoft Word skills, good communication skills and excellent attention to detail.Job Duties and ResponsibilitiesThe role is expected to be busy and varied with the post holder responsible for managing his or her own workload. Although the post holder will work predominantly on his or her own, support from the Secretarial Manager and Administrative and Bids Assistant will be available and he or she will also be expected to assist other team members, as required.Providing administrative support to Partners and Managers with duties as and when required, including:Monitoring framework contract inboxes and responding to new requests for service / queriesCarrying out conflict checking procedures for new requests for serviceFormatting and submitting responses to requests for servicePreparation of budgets and assignment implementation plansRaising invoices as requiredFormatting and finalising reports and correspondenceMaintaining the database of open assignmentsLiaising with sub-contractor firms and internal colleagues on the status of open assignmentsPreparation of reports showing status of open assignments for monthly progress meetingsAttending monthly progress meetings with the Partners, managers and client and taking minutesPreparation and distribution of minutes of meetingsAssisting Secretarial Manager and other team members when requiredDocument formatting, when requiredUndertaking Know Your Client (KYC) checks and completion of forms for new clientsPerson SpecificationSkills, Experience and QualificationsAdvanced knowledge of Microsoft Word and good knowledge of Microsoft Outlook / ExcelPrevious administrative experience essentialA second European language skill is preferred but not essentialBe commercially aware;Team player;Good communication skills;Flexibility;Strong organisational skills;Systematic;Enthusiastic;Able to work on own initiative;Good attention to detail;Ability to prioritise workload;Forward thinking;Committed;Ability to manage and meet deadlines#LI-JC1
