JOB SUMMARY
We’re seeking a bilingual, proactive, detail-oriented, and customer-focused Compliance Administrative Specialist to join our fast-paced Operations team. This critical role serves as a central support function, ensuring that administrative workflows run smoothly and compliance standards are consistently met.
In this role, you’ll be responsible for managing provider compliance records, coordinating inbound and outbound communications, and supporting both internal teams and external partners. From handling sensitive documentation to delivering excellent service, your contributions will directly impact operational efficiency and client satisfaction.

QUALIFICATIONS
· High school diploma or equivalent required
· Minimum 6 months of call center or customer service experience and 1–2 years in an administrative support role
· Strong organizational and multitasking abilities with excellent attention to detail
· Excellent written and verbal communication skills
· Proven ability to manage confidential and sensitive information with discretion
· Strong time management skills and ability to work independently with minimal supervision
· Familiarity with standard office equipment (phone, computer, scanner, copier, etc.)
· Proficiency in Microsoft Word, Excel, Outlook, and basic Internet use
· Minimum typing speed of 35 words per minute
· Positive, team-oriented attitude with a desire to contribute to company goals
· Availability to work weekdays between 8:00 AM and 6:00 PM

· Maintain and update accurate provider compliance records in the company database
· Process, route, and organize inbound mail and email for the appropriate departments
· Assemble, log, and distribute outbound correspondence in line with regulatory requirements
· Accurately research and match compliance documents to the correct provider or company profile
· Respond to contractor, client, and internal customers inquiries via phone and email with professionalism and clarity
· Review for accuracy and process sensitive documents to ensure completion of orders and proper compliance reporting
· Conduct daily data checks and reconciliations to ensure service requests are fulfilled and records remain in sync
· Prepare and mail contractor badges; serve as a backup for badge creation tasks
· Perform follow-ups, audits, and other monitoring tasks to reduce aging workloads and maintain compliance standards
· Handle multiple priorities and adjust to changing demands with efficiency and accuracy
· Serve as a point of contact for general internal and external customer service needs
· Support other operational and administrative functions across the department as needed
· Assist in ensuring smooth office operations for both team members and visitors
