As a Project Administrative Assistant working within Pomerleau’s Civil & Infrastructure team, you will play a key role in supporting project teams in their essential administrative tasks. Working on large-scale construction projects - ranging from $1.5 million to over $1 billion - you’ll help update project documentation, meeting schedules and coordinate project resources.

What you will do :

  • Assist project assistant with billing tasks and other follow-ups;
  • Use of Office 365 (Outllook, Word, Excel, Teams)
  • Email management and follow-up;
  • Reconcile work orders and invoices and submit for approval and processing.
  • Scan and rename all delivery bills;
  • Categorize all documents in the project tree (tickets, invoices, manifests, AC, etc.).
  • Enter daily data for various items (concrete tickets, stone tickets, trucking tickets, etc.) into our in-house software for efficient cost tracking.
  • Learning different software (HCSS, CMIC), familiarization with Pomerleau acronyms;
  • All other related tasks according to specific project needs.
  • List of project phases to be updated
  • Invoice management for ‘’cost+’’ project (voucher query).

This role could be for you if you have :

  • Two years’ administrative experience in a fast-paced environment.
  • Ability to work with MS Office suite and Adobe.
