Under the supervision of the executive assistant of the project office, the incumbent provides versatile administrative support, contributing to the daily operations of the office and the coordination of project activities.

  • Greet visitors and direct them to the appropriate person or meeting room.
  • Assist colleagues with office supply needs or other requests related to the project office.
  • Provide general information to visitors and the project team.
  • Manage and update bookings for the various conference rooms in the office and ensure they are kept in order.
  • Receive and distribute mail and packages (internal and external).
  • Assist with certain administrative tasks:
  • Sending correspondence
  • Electronic filing in accordance with organizational procedures
  • Formatting various documents and proofreading in French
  • Relaying notices to the project team
  • Occasional support to the project’s administrative assistants
  • Support in planning activities and events
  • Monitor inventory and place necessary orders: office supplies, coffee, catering, etc.
  • Responsible for daily operations, restocking, and service calls for:
  • Coffee machine
  • Soap and paper towels (kitchen)
  • Water filter
  • Printer/photocopier/scanner
  • Other related tasks as needed.

This role could be for you if you have

  • High school diploma (DES) or vocational diploma (DEP) in secretarial work or office administration.
  • 1 to 2 years of experience in a similar position.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint).
  • Strong sense of confidentiality and discretion.
  • Welcoming, polite, and autonomous.
