JOB SUMMARY

The Administrative Assistant performs office support functions for the Assistant Vice President of Prospective Student Outreach & Access (PSOA) and all departments within PSOA. The position is responsible for managing the day to day activities of the office including purchasing, personnel/payroll transactions, travel requests, etc. The Administrative Assistant performs duties critical to accurate budget maintenance and tracking.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of

  • Basic budgeting principles and practices, fund accounting, and bookkeeping
  • General office management procedures and applicable departmental/university policies
  • Microsoft Excel and Word, accounting software, and standard office equipment
  • Banner ERP (experience preferred)

Skilled in

  • Oral and written communication and effective interpersonal relations
  • Customer service and teamwork
  • Critical thinking to anticipate and address potential issues

Ability to

  • Perform accurate, detail-oriented work and basic mathematical calculations
  • Work independently in a self-directed manner

MINIMUM QUALIFICATIONS

  • Possession of high school diploma or GED.
  • Two years of experience as an administrative, executive, or office coordinator of comparable level.

PREFERRED QUALIFICATIONS

  • Experience with MS Excel and reconciliation of budget accounts.

Responsibilities
  • This position provides essential administrative support services for the Executive Director for Enrollment Management, Executive Director for Admissions, Strategic Partnerships, and Dual Credit, as well as supporting other Enrollment Management directors.
  • Assists in the analysis and tracking of the annual budget for Enrollment Management.
  • Assists in the collection of data for budgetary requests.
  • Maintains records of departmental expenses and reconciles with monthly budget statements;
  • Provides reconciled account balances monthly;
  • Plans and organizes work to ensure completion of tasks and functions in a timely manner; establishes office and records maintenance procedures;
  • Prepares or oversees the preparation of a variety of university forms including purchase requisitions, travel vouchers, time records, forms, reports and related materials;
  • Prepares or oversees the preparation of university forms, informational materials and documents;
  • Composes and prepares routine memos and correspondence while maintaining strict confidentiality;
  • Proofreads documents, printing proofs, and other materials carefully to insure accuracy, clarity, and consistency.
  • Greets staff, faculty, students, or visitors; provides routine information or minor interpretations of policies and procedures;
  • Answers the telephone in a professional, service-oriented manner, routes calls or takes messages as appropriate.
  • Corresponds via email regarding departmental services and updates.
  • Composes correspondence from personal knowledge of subject matter or from instructions;
  • Takes and prepares minutes of meetings, as requested.
  • Maintains records of accounts and expenditures for the department and reconciles expenditure records with financial reports.
  • Attends training, seminars, and other meetings as needed.
  • Performs other duties as assigned.
