Position Title: Administrative Assistant
Reports To: General Manager
Status: Exempt
Job Type: Full Time
The Administrative Assistant is responsible for providing exceptional customer service and administrative support to ensure the smooth operations of the organization. This position requires excellent communication skills, strong problem-solving abilities, and the ability to handle multiple tasks simultaneously.

KNOWLEDGE, SKILL & OTHER REQUIREMENTS:

  • High school diploma or equivalent; additional education or certification in customer service or administration is a plus
  • Ability to handle difficult customers and challenging situations with professionalism and patience.
  • Strong interpersonal skills and the ability to build rapport with customers and colleagues.
  • Must be legally authorized to work in the United States.

Responsibilities:

  • Greet customers and visitors in a friendly and professional manner, offering assistance and addressing inquiries promptly.
  • Answer incoming calls and direct them to the appropriate department or individual.
  • Respond to customer inquiries and resolve issues promptly and efficiently, ensuring customer satisfaction.
  • Provide administrative support such as data entry, filing, and document preparation.
  • Process customer orders and ensure accurate and timely order fulfillment.
  • Maintain accurate customer records and update databases as required.
  • Coordinate with other departments to ensure seamless communication and collaboration.
  • Assist in organizing and coordinating meetings, conferences, and events.
  • Generate reports and provide regular updates to management on customer feedback, trends, and suggestions for improvement.
  • Stay up-to-date with product knowledge and company policies to provide accurate information to customers.
  • Handle customer complaints and escalations, finding appropriate resolutions and ensuring customer satisfaction.
  • Collaborate with the sales team to identify opportunities for upselling and cross-selling products or services.
  • Assist in training and onboarding new customer service representatives as needed.
  • Continuously seek ways to improve customer service processes and procedures.
  • Performs other tasks as required.
