REQUIRED SKILLS & EXPERIENCE

  • Real estate administrative experience (mandatory)
  • Proficiency with real estate software (e.g., BrokerBay, REALM, DocuSign, WebForms, RealtorLink, GEOWarehouse, MPAC)
  • CRM familiarity (e.g., Follow Up Boss, kvCORE)
  • Canva experience (designing social media/marketing assets)
  • Social media experience (Instagram, Facebook Ads, Google Analytics)
  • Must have access to a reliable car and valid driver’s license

PREFERRED / BONUS SKILLS

  • Experience with Mailchimp, Notion, Google Gemini, Adobe Suite (Photoshop, Illustrator, Acrobat)
  • Microsoft Office expert (Word, Excel, PowerPoint)
  • Familiarity with self or project management tools
  • Eagerness to grow within the team long-term

Responsibilities
  • Draft and manage real estate transaction documents for buyers, sellers, and landlords
  • Coordinate worksheets, referral forms, and maintain spreadsheets
  • Maintain and edit marketing materials using Adobe Photoshop or Canva
  • Create and schedule social media content, captions, and reels
  • Design and implement email campaigns and Meta ads (Facebook, Instagram)
  • Maintain records of trade/deal sheets and submit documentation to the Deals Department
  • Liaise with builders and legal offices regarding commission cheques
  • Prepare Comparative Market Analyses (CMAs) and locate property comparables in the GTA
  • Update internal tracking spreadsheets with deal status, mortgage approvals, and more
  • Set up lockboxes at properties and pick up/drop off keys and cheques for listings
  • Take photos of rental listings
  • Manage clients’ rental properties, ensuring monthly rent payments are received
  • Coordinate repairs with trades as needed
  • Organize tenant move-ins on closing dates and ensure a smooth process
