LEGAL RECEPTIONIST

Ashamalla LLP is a boutique immigration and refugee law firm in Markham, Ontario. Our firm assists clients throughout Canada and around the world with the full spectrum of immigration, refugee, and citizenship matters. We strive to deliver excellent legal expertise and unparalleled service to each of our clients.
We are currently seeking an Administrative Assistant/Receptionist to join our growing practice. We are searching for an exceptional member to add to our team who exemplifies professionalism, attention to detail, and reliability. The position is permanent, full-time, and in-office.

QUALIFICATIONS

  • Administrative assistant or receptionist experience in a law firm (1+ year required)
  • University/College Degree required
  • Knowledge of Canadian immigration practices and procedures
  • Proficiency using MS Office (particularly Word and Outlook) and Adobe Pro
  • Very strong English communication skills, written and spoken
  • Excellent customer service, with professional and courteous demeanor
  • Attention to detail and strong organizational skills
  • Ability to exercise discretion and maintain client confidentiality
  • Ability to work well with time-sensitive matters and manage multiple deadlines and priorities
  • Eagerness to learn new skills and work in a friendly team environment

Responsibilities
  • Answering incoming phone calls and taking messages
  • Greeting in-person clients
  • Scheduling consultations/appointments
  • Preparing, organizing, and updating client file folders
  • Preparing courier envelopes and labels and assisting with tracking courier deliveries
  • Following up with immigration authorities on pending applications
  • Ordering and maintaining office supplies
  • Sorting and delivering firm mail
  • Facilitating submission of time-sensitive matters via fax, MyCase, IRCC portals etc.
  • Preparing and sending client invoices/correspondence
  • Monitoring and responding to firm emails
  • Printing, scanning, photocopying, faxing, and filing documents
  • Assisting firm staff with completion and preparation of immigration applications as needed
  • Assisting firm staff with preparation of client documents as needed
  • General office duties as assigned from time to time
