ADMINISTRATIVE ASSISTANT / RECEPTIONIST

IBISKA has an open position for an Administrative Assistant / Receptionist to work as part of our Finance and Administration team. IBISKA’s business environment is service oriented, collaborative, team focused and fast paced with opportunity for learning and career growth. We are looking for a dynamic and resourceful individual with experience and interest in office administration work to perform or contribute in the following areas:

Role and Responsibilities

  • Front Desk: welcoming visitors; distributing the mail; managing phone calls; ordering and tracking office supplies; booking meeting rooms; interface with suppliers and repair people; and perform other typical front desk duties;
  • Database update/cleanup/data entry: update and enter data to our CRM database per information received through various teams; perform database cleanups as required; develop/document data entry procedures;
  • Assist and coordinate company events such as monthly staff lunches including venue reservation and food order;
  • Format MS Word documents using a proprietary formatting tool;
  • Direct support to the Proposal Response team;
  • Collaborate and assist various teams with administrative tasks as needed.

Qualifications required:

  • At least 1 year of experience in an administrative support or customer service role
  • Strong attention to detail;
  • Proficiency in the use of software, including MS Office tools (Word, Excel);
  • Experience working and collaborating as part of a small team;
  • Excellent people and communications skills;
  • Excellent organizational skills;
  • Excellent attendance record;
  • Interest and ability to learn new software and take on a variety of tasks as required by IBISKA;
  • A college diploma or a university degree in a relevant field is an asset;
  • Must be eligible to obtain a Government of Canada Security Clearance.

Hours of Work:

  • 8:30 to 5:00 – 5 days/week - 1 hour lunch break
  • Note: this is an “in-office” position.
