Description Larson Intrua Financial is seeking an Administrative Assistant, in the Houston, TX, office where you will play a crucial role in ensuring the smooth operation of our office. You will support our team with a variety of administrative tasks, fostering an organized and efficient work environment. Your attention to detail and proactive approach will be key in contributing to our success. Job Responsibilities Manage and organize daily schedules, appointments, and meetings for executives or team members. Prepare and edit correspondence, reports, and presentations. Coordinate travel arrangements, including flight bookings, hotel accommodations, and itineraries. Maintain filing systems, both electronic and physical, ensuring easy retrieval of documents. Answer direct phone calls, take messages and handle inquiries. Assist in the preparation of regularly scheduled reports. Order and manage office supplies inventory, ensuring stock levels are maintained. Provide general support to visitors and handle incoming and outgoing mail. Conduct research and compile data for reports and presentations. Assist in planning and organizing company events and meetings. Maintain contact lists and databases, ensuring information is up to date. Handle sensitive information with confidentiality and discretion. Support other departments as needed with administrative tasks and projects. Requirements High school diploma or equivalent; associate degree or certification in office administration is a plus. Proven experience as an administrative assistant or in a similar role. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent written and verbal communication skills. Strong organizational and time management skills. Ability to prioritize tasks and manage multiple projects simultaneously. Attention to detail and problem-solving skills. Basic knowledge of office equipment, such as printers and scanners. Ability to maintain confidentiality of sensitive information. Strong interpersonal skills and ability to work collaboratively with team members. Flexibility and adaptability in a fast-paced work environment. Familiarity with office management procedures and basic accounting principles is a plus.
