Job Summary
We are seeking a highly organized and proactive Administrative Assistant to provide direct support to our team. This role requires an adaptable, detail-oriented professional with excellent administrative and interpersonal skills. The successful candidate will be able to manage multiple responsibilities while maintaining high standards of professionalism, confidentiality, and client care.

Key Responsibilities

  • Manage incoming communications (phone, email, and in-person) with professionalism and sensitivity, ensuring a welcoming experience for clients and community partners.
  • Perform data entry, filing, and document management to ensure smooth office operations.
  • Assist with clerical tasks such as scheduling, invoicing, and maintaining records.
  • Prepare reports and correspondence with strong attention to detail and accuracy.
  • Oversee front desk operations, greeting clients and handling inquiries in a respectful and supportive manner.
  • Support the executive team and clinical staff with clerical and operational needs to ensure efficiency across the practice.

Qualifications & Requirements

  • Proven administrative experience with strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Jane App EMR is a strong asset.
  • Familiarity with QuickBooks is preferred, though not mandatory.
  • Professional communication skills with a client-centered approach.
  • High attention to detail, especially in proofreading and maintaining accurate records.
