Job Overview
We are seeking a self-motivated and organized Receptionist Administrator to join our Plant Administration team at Oxford College of Education. This part-time role is ideal for a proactive individual with strong interpersonal and organizational skills, eager to support our administrative and reception operations.
Key Responsibilities

As a Receptionist Administrator, you will undertake a variety of administrative and clerical tasks to ensure smooth operations, including:

  • Managing emails and correspondence professionally and efficiently.
  • Assisting with diary management, scheduling appointments, and arranging meetings.
  • Processing invoices accurately and ensuring timely payments.
  • Raising requisitions and ordering necessary supplies and equipment.
  • Maintaining an organized filing system for efficient document retrieval.
  • Handling reception duties, including managing incoming and outgoing post.
  • Arranging hospitality for meetings, including refreshments and catering.
  • Coordinating onsite accommodation for visitors.
  • Supporting departmental projects as required.
  • Ensuring coursework is completed within expected timescales.
  • Assisting sales, marketing, and admissions teams with administrative tasks.
  • Providing support to students through direct communication (calls, texts, emails) with students and agents.
  • Maintaining accurate files, records, and documents.
  • Performing data entry tasks to update and manage information.
  • Handling phone calls with professionalism and proper etiquette.
  • Supporting clerical tasks such as photocopying, scanning, and filing.
  • Assisting in computerizing office processes to enhance efficiency.
  • Collaborating with the team on administrative projects.
  • Using Google Suite for email communication and document management.
  • Maintaining a tidy office environment and adhering to health and safety standards.

Requirements
To be considered for this role, candidates must meet the following criteria:

  • A minimum of 5 GCSEs at grade C/4 or above, including Maths and English.
  • Self-motivation and excellent interpersonal skills, with a strong team-oriented approach.
  • Exceptional organizational skills and attention to detail.
  • Confident telephone manner and effective communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to maintain a clean and safe office environment, adhering to health and safety protocols.
  • Strong teamwork skills with the ability to work independently when required.
