Job Profile
The Receptionist/Administrative Assistant is the first point of contact for all calls and visitors to Prairie Machine and Parts. The Receptionist/Administrative Assistant is responsible for providing excellent customer service and general office administration and support.

Primary Responsibilities:

  • Answer the telephone promptly and relay all calls and messages
  • Greet visitors and direct them to the appropriate person
  • Provide confidential administrative support
  • Assist Accounts Payable by printing incoming AP invoices, matching to purchase orders, and highlighting any discrepancies.
  • Perform general administrative duties such as preparing letters and other correspondence, data entry, filing, photocopying, proofreading, compiling and printing reports
  • Coordination of boardrooms for leadership meetings and other sessions as requested
  • Coordinate company vehicle bookings from employees requiring access to a vehicle for work purposes Prepare and book Main boardroom for Leadership and Management meetings
  • Distribute mail to appropriate people
  • Job closing in Epicor on a weekly basis
  • Assist with company travel arrangements as requested
  • Ensure on-going maintenance and operation of all office equipment
  • Order office supplies as required and requested

Qualifications:

  • Grade 12 plus completion of an office administrative assistant program
  • 1-2 years of customer service/administrative assistant experience
  • Previous exposure to Accounts Payable and Receivable
