JOB SUMMARY: The Receptionist/Administrative position requires 5 days in the office Monday through Friday, the ability to perform duties of a responsible and confidential nature, and to organize and expedite workflow, including having direct interaction with attorneys, legal assistants and management. The Receptionist/Administrative Assistant will act as the overflow assistant and will assist anyone in the DC Office and must possess strong computer proficiency in the use of MS Office (Word, Outlook, PowerPoint and Excel), document management, time entry, strong typing and filing skills, telephone skills, and language skills (including grammar, spelling, etc.). The Receptionist/Administrative Assistant will perform general tasks and work collaboratively and cooperatively with others in a team-oriented environment. The Administrative Assistant/Receptionist interacts regularly with individuals at all levels within the NY and DC offices as well as with clients and vendors. JOB RESPONSIBILITIES: The Receptionist/Administrative Assistant may be required to perform any or all the following essential duties and responsibilities: * The Receptionist/Administrative Assistant must be able to ascertain matters of priority and urgency and be able to respond in a quick and efficient manner; use initiative and judgment to minimize the effect in a lawyer's absence and refer matters to appropriate delegated authority. * Answers and screens incoming calls and relay messages to appropriate parties in a timely and accurate manner; greets/assists/refers clients in person, scheduling and arranging conference calls. * Attend all mandatory training classes which include, but are not limited to, technology, and or seminars as instructed by the Firm. * Maintains an understanding of the Firm’s objectives, including policies and procedures. * Ability to input daily time entries, expense reimbursements and disbursement requests and processes them in CHROME. * Maintains and updates the calendars for attorneys, including meetings, appointments, due dates and client-related activities. * Prepare materials for distribution via U.S. mail, fax, courier, messenger, or other means of delivery. * Perform special projects for attorneys and legal assistants. * Ability to respond to the needs of the Firm by being flexible with hours, assignments, and overtime. * Ability to provide courteous customer assistance to all internal and external clients. * Attention to detail with emphasis on accuracy and quality. QUALIFICATIONS: * Must be able to work 5 days on-site * Proficiency in MS Office * Law firm experience preferred * Minimum of 3 years’ experience PHYSICAL DEMANDS AND/OR ENVIRONMENTAL CHARACTERISTICS The physical demands and environmental characteristics described below are representative of those that must be met by the incumbent to successfully perform the essential functions of this job.
