Responsibilities

THE ROLE

The Administrative Assistant will provide administrative and clerical support to ensure the efficient operation of the office. You will work closely with clients, surveyors, and drafters, assisting with document preparation, data entry, and general office coordination. A strong attention to detail, excellent communication skills, customer service ethics and the ability to multitask are essential in this role.

RESPONSIBILITIES

  • Answer and direct incoming phone calls and emails in a professional and timely manner
  • Greet clients and visitors, and assist them as needed
  • Coordinate on project timelines with field crew and drafters and assist with providing necessary information and documents as needed
  • Prepare and process documents such as proposals, reports, field work folders and invoices
  • Research public records for pertinent information in preparation for upcoming projects
  • Maintain organized digital and paper filing systems for project records and survey documents
  • Enter job data into project management and archival systems
  • Work with Finance team assisting with accounts payable tasks
  • Monitor and order office supplies as needed
  • Coordinate incoming and outgoing mail and deliveries
  • Perform weekly office cleaning duties
  • Liaise with building manager to resolve office-related issues in accordance with the tenancy agreement
  • Perform other administrative tasks as required or assigned
