ADMINISTRATIVE ASSISTANT / RECEPTIONIST

We are seeking an outgoing and enthusiastic individual to join our administrative team as an Administrative Assistant/Receptionist. As the first point of contact for clients and visitors, this role is a key representative of the firm. The ideal candidate is organized, detail-oriented, and brings excellent customer service and problem-solving skills, along with a willingness to support colleagues wherever needed.

QUALIFICATIONS

  • Strong interpersonal skills with a client-service focus
  • Excellent command of written and spoken English
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat
  • Highly organized with strong attention to detail and time-management skills
  • Ability to work independently and as part of a team
  • Comfortable in a fast-paced environment and able to meet deadlines
  • Previous office experience an asset
Responsibilities
  • Greet, receive, and direct visitors, deliveries, and inquiries
  • Manage boardroom calendars for meetings and conferences
  • Coordinate lunch meetings
  • Prepare draft and final documents for clients
  • Scan and file records into the document management system
  • Manage faxes, mail, and courier services
  • Prepare client correspondence
  • Assist with office equipment, supplies, and external vendors
  • Maintain tidy and welcoming reception, boardroom, and lunchroom areas
  • Support workplace health and safety initiatives
  • Provide general administrative support as required
