Technical Training: BLS, required; Physical and Mental Requirements: Reporting Skills, Administrative Writing Skills, Managing Processes, Organization, Analyzing Information, Professionalism, Problem Solving, Supply Management, Inventory Control, Verbal Communication Requirements General Duties Under the direction of the Director of Physical Therapy · Coordinates, supervises, and delegates daily physical therapy administrative duties to other office personnel as appropriate. · Coordinates and maintains calendar of activities for the Director of Physical Therapy and the Physical Therapy Department. · Registers new patients and updates existing patient demographics by collecting detailed patient information including personal and financial information for both physical therapy, and cardiac rehabilitation. · Gathers documents and provides information as directed, including worker's compensation and insurance precertification. · Assists with maintaining patient and department files. · Maintains and reinforces established department policies and procedures. · Answers and routes calls in a polite and professional manner. · Provides clearly written messages, maintains the telephone log, and reinforces the maintenance of the telephone log by all support staff. · Greets, directs, and assists patients, visitors, and personnel from other departments in a courteous and professional manner. · Educated in all aspects of office equipment in use and contacts appropriate representative or service persons when necessary. · Educated in all aspects of appropriate software needed to perform the duties of Administrative Assistance. · Oversees the retrieval and distribution of mail for the physical therapy department. · Oversees the scheduling of patients, assisting as appropriate. · Conducts training for new hire personnel in the physical therapy admissions department. · Coordinates closely with Medical Records for billing as appropriate. · Protects patient confidentiality by making sure protected health information is secured by not leaving PHI in plain sight and logging off the computer before leaving it unattended. · Oversees front and back office staff (flex aides, PT aides): sets daily priorities for support staff; monitors performance and provides feedback; handles escalations and ensures coverage. · Follows all other tasks as set by the Director of Physical Therapy PT and Cardiac Rehab Admin Specific Duties · Matches all information on billing, ensuring the billing matches the treatment provided. · Performs weekly chart audits for completion of documentation. · Assures licensed staff has properly signed all billing, evaluations, documentation, treatment plans, and filed in the patient's chart in a timely manner. · Assures referring physician has properly signed all treatment plans, returned in a timely manner, and filed in the patient's chart. · Keeps track of Medicare CAP for KX modifier billing. · Provides quality assurance audit on documentation billing. · Ensures clinicians follow the 8-minute rule for outpatient physical therapy in billing on every documentation. · Complies with all applicable policies with Good Faith estimate. · Follows Medicare changes on CPT billing and coding. · Keeps track of occurrence codes for Medicare patients. · Follows all other tasks as set by the Director of Physical Therapy.
