Position Summary We are seeking a highly organized and proactive Administrative Assistant to support our growing advisor team in our newly established Avon, CT office. This is a hands-on administrative role focused on client service, operational efficiency, and office management. The position will require independence, initiative, and adaptability, as you will often be the primary staff member on-site. The ideal candidate will be comfortable working alone, managing multiple tasks, and interacting with clients and advisors in a professional and welcoming manner. Occasionally, this role will include travel to our Longmeadow, MA office to provide on-site administrative support. Key Responsibilities Front Office & Client Interaction Greet guests and visitors with excellent hospitality, creating a positive and professional first impression. Ensure visitors are logged in and notify the appropriate staff members of their arrival. Coordinate and confirm client meetings; make confirmation calls when needed. Answer and manage a multiline phone system, screen callers, and direct inquiries to the appropriate department or individual. Maintain a tidy and organized reception and conference room area. Perform routine maintenance, troubleshoot office-related problems, and act as the liaison to building management for repairs and requests. Administrative Support Process new account paperwork on Schwab and Fidelity platforms in coordination with financial advisors Record detailed meeting notes and ensure data accuracy in the CRM (Redtail). Assist with the preparation and organization of client files. Ensure accuracy of applications, confirming required signatures, dates, and supplemental documentation. Reset and prepare conference rooms for meetings. Manage minor inventory and office supply ordering. Requirements Must-Have Qualifications Background and Education: High school diploma required, higher education preferred 2–3 years in an administrative role, preferably within a fast-paced office or financial services environment. Skills and Technology Expertise: Strong attention to detail and organizational ability. Proactive mindset with minimal need for direct oversight. Comfort using CRM systems Excellent communication skills, both verbal and written. Physical & Work Environment Requirements Ability to work for extended periods at a desk using a computer. Ability to lift up to 10 pounds if/when necessary. Routine use of telephone and email. Office-based role with potential travel to conferences, events, and satellite offices as needed.
