OVERVIEW

We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting our daily operations by performing various administrative tasks. This position requires proficiency in Quickbooks Online software. If you are a proactive individual with excellent communication skills and a passion for organization, we encourage you to apply.

Responsibilities
  • Accounts receivable and accounts payable processes
  • Calculate and remit pension contributions and dues to local Union
  • Report payroll and remit premiums to Worksafe BC
  • Collect employees’ time slips to send to company’s accountant
  • Prepare and send quotations to customers as required
  • Assist in typing customer invoices as needed
  • Prepare Purchase Orders as needed
  • Assist from time to time with answering phone calls and help customers when co-worker is busy or on vacation or has a day off
  • Assume the position of Quality Manager which is a part-time requirement to help maintain our company’s accreditation with Measurement Canada. Create agenda for annual Management Review Meeting in preparation for Measurement Canada’s audit.
  • Maintain company’s Health & Safety Manual. Prepare quarterly meetings with staff to discuss Worksafe BC safety issues. Answer health and safety questionnaires from some customer groups as requested.
  • CARM Client Portal - The CBSA (Canada Border Services Agency) requires all companies who import goods from another country to pay taxes and duty for each import shipment. You will be responsible for checking for Notifications on their website and taking actions as required to remain in good standing.
  • Requirements
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Strong attention to detail and accuracy in data entry and record keeping.
  • Effective communication skills, both written and verbal.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) is a plus.
