Riverside House and work for a non-profit, faith-based organization operating in Miami, Florida. We specialize in community-based adult re-entry programs.
We are a co-ed, residential reentry center that helps ex-offenders successfully reenter society. Riverside House exists to guide men and women convicted of crime into becoming productive citizens through a nondenominational, faith-based approach.

SUMMARY:

The Administrative Assistant supports the Operations Manager and is a key member of the administrative team. The Administrative Assistant needs the ability to handle basic clerical tasks including typing, filing, and word processing. Ability to assist in the department of Human Resources, Quality Control, Accreditation, contracting and I.T desktop support and assisting in daily office needs. Knowledge of basic computer functions. Highly organized in a fast-paced environment. Good public relations and communication skills in talking with employees, contractors, vendors and the public.

Responsibilities

The following duties and responsibilities of the Administrative Assistant are outlined below. Additional duties may be assigned:

Perform coordinating an office’s administrative activities and storing, retrieving, and integrating information for dissemination to staff and vendors. Handle requests for information and data.

  • Perform a variety of administrative duties along with clerical duties to run a department efficiently.
  • Serves as information and communication managers
  • Office clerical duties such as organizing digital and paper files as well as copying and scanning documents
  • Must be able to properly use the telephone, mail services web sites and videoconferencing in order to complete job functions.
  • Needs to be able to create and manage spreadsheets and database
  • Be able to create presentations, reports and documents using desktop publishing software and digital graphics.
  • Greet and assist visitors to the office
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
  • Prepare agendas for meetings and prepare schedules
  • Record, compile, transcribe and distribute minutes of meetings
  • Open, sort and distribute incoming correspondence
  • Maintain office supply inventories
  • Coordinate maintenance of office equipment
  • Submit and reconcile expense reports
  • Prepare and monitor invoices
  • Handle sensitive information in a confidential manner
  • Supports team by performing tasks related to organization and strong communication
  • Tracking petty cash
  • Assist with quality Assurance and Accreditation and communicates audit findings by preparing a report
  • Assist with new hire and orientation
  • To perform additional duties when assigned by the supervisor

Job Type: Full-time
Pay: $19.00 - $20.00 per hour
