JOB OVERVIEW
We are seeking a detail-oriented and proactive Administrative Assistant to support our team in various administrative tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to providing exceptional customer service. This role requires proficiency in office management and the ability to handle multiple tasks efficiently in a fast-paced environment.
v Answer questions from employees or the public.
v Use a computer to enter, access or retrieve data in agency management software system.
v Collect, sort, distribute and prepare mail, email, faxes, messages, and courier deliveries.
v Schedule space and equipment for special programs and prepare lists of participants.
v Operate telephone to answer, screen and forward calls, provide information, take messages, and schedule appointments.
v Keep a current record of executive staff members’ whereabouts and availability.
v Transmit information or documents to customers, using computer, mail, or facsimile machine.
v When approved by supervisor, assist Producers, Commercial Lines CSR’s, and Account Executives by populating new business applications, entering renewals, obtaining quotes, filing claims, preparing letters, and other processing tasks. Needs to have proper licensing or needs to give to Supervisor to review and present to the client.
v When approved by supervisor, assist marketing by working with Producers and Account Executives to complete submission information and market small business directly with insurance carriers. Needs to have proper licensing or needs to give to Supervisor to review and present to the client.
v Access insurance carrier websites to obtain reports, add and delete staff and maintain company and agent appointments.
v Process confidential documents following guidelines provided in Employee Handbook.
v Write letters and prepare mailings to employees, customers and marketing/sales promotional items.
Point of contact for office and grounds maintenance issues and submit requests to appropriate resources.
